How therapy students should be documenting in Net Health

To recap the documentation portion of this POSTette (pages 2 and 3), this Net Health Tips & Tricks provides increased attention to this vital step for students. Our POSTettes serve as operational guidance for our student supervision processes. In addition, our students also complete the same LMS trainings required by our organizational compliance program for their specific discipline of study. This enhances their understanding and knowledge of the federal and state regulations surrounding our practice.
Should therapy students use their clinical instructors sign-in or have their own student Net Health profile?
Students should have their own Net Health profile. Passwords should never be shared! Prior to the start of the clinical rotation, send a request to the Help Desk to have the student Net Health profile set up with “student rights.”
Should students document under their own names?
Students should not document under their own names. The student will enter minutes under the supervising therapist/assistant name. The document is completed by the student with the name of the supervising therapist/assistant indicated on the documents. Do not use the option of using the student’s name and “supervised by”; this will create the need for a labor entry for the student and will inaccurately track productivity.
How should students begin their documentation? When the Student logs into the Daily Activity Log to enter the billing charges for a visit, the “Clinician” will have defaulted to the student. The student should change the “clinician” to the supervising therapist/therapist assistant. Documentation needs to include student involvement. The therapist/therapist assistant will be required to e-sign. The productivity of the students will be captured under the supervising therapist/therapist assistant.
What about students documenting evaluations, POC/UPOC, and progress notes?
Evaluations, Plans of Care/Updated Plans of Care, and Progress notes should be created in the same way as billing. When the student creates a new document, the “Clinician” will have defaulted to the student. The student should change the “clinician” to the supervising therapist/therapist assistant. Documentation needs to include a reference to student involvement. Only the therapist/therapist assistant will be able to complete the documents opened or contributed to by a student. All documents will require clinician e-signature.
